We are seeking an exceptionally bright, multitasking and self-motivated individual to support our team. This exciting role requires superior attention to detail, the ability to meet tight deadlines, great organizational skills, and the ability to switch gears at a moment's notice. This project also requires a high level of integrity and discretion in handling confidential information, and professionalism dealing with senior professionals. A successful candidate possesses the ability to complete complex tasks and projects quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the total picture.
Responsibilities for this position include the ability to lead all administrative support functions for the management team, to think and plan ahead, delegate responsibilities appropriately, manage time effectively, conduct research, assist in the general activities of the group including social outings, and liaise with contractors and other community contacts.
Examples of Key Duties (Duties are illustrative and not inclusive.)
• Perform wide variety of executive secretarial and administrative duties
• Coordinate office activities and schedules; develop and recommend office procedures and systems; ensure smooth office operations
• Review and summarize miscellaneous reports and documents
• Prepare background documents as necessary
• Research and analyze routine administrative projects; prepare first draft reports
• Process payment of invoices
• Track and help drive completion of key deliverables and following up on outstanding items
• As needed, independently respond to letters and general correspondence of a routine nature;
• Maintain appointment schedules and calendars; as needed, arrange meetings and events
• As needed, attend meetings and take minutes, as directed
Necessary Qualifications
Candidate must be a well-organized, detail-oriented self-starter with the ability to multi-task and handle new challenges. Additionally, must have:
• Minimum of five years of experience assisting at the executive level in a fast-paced environment
• Bachelor’s Degree or equivalent, with two years of college-level coursework in business or a related field
• Basic mathematical computational, accounting and record keeping skills
• Exceptional written, verbal, and interpersonal communication skills
• Internet proficiency with advanced knowledge of Microsoft Office and Google Docs
• Detailed planning, time management and organizational skills
• Proper English usage, spelling, grammar, and punctuation
• High levels of integrity and discretion in handling confidential information and dealing with professionals inside and outside the company
• Positive, proactive and consistently exercises great judgment
• Ability to work in an ambiguous environment
• Must have own computer
This position is a contract position beginning at 20 hours/week but possibly ramping up to 30 or more within the next month or two; schedule is negotiable based on your needs and ours. Pay is $30/hour.
