Administrative Assistant - The Trust for Public Land

POSITION SUMMARY

The Administrative Assistant provides administrative support to the Washington State Director (.5 FTE) and administrative support to the Washington state project team (.5 FTE).

RESPONSIBILITIES & ESSENTIAL FUNCTIONS

Coordinate and manage the State Director’s calendar, address book, travel, expenses and other activities.

Provide the central point of contact for the State Director’s calendar and availability, and schedule internal and external meetings requested by the State Director and meetings including the State Director.

Serve as a point of contact for the State Director for TPL staff, constituents, and the public.

Help State Director communicate and coordinate with Washington State and regional and national staff.

Help State Director communicate and coordinate with outside public agency and other land conservation partners.

Participate in State and Project Team meetings

Create and distribute agendas and meeting summaries.

Coordinate successful completion of tasks and projects by keeping track of action items, schedules and reminding people of responsibilities.

Assist State Director and other Project Team members in coordinating project work.

Maintain systems for tracking information regarding projects, appraisers, agency contact, and other project-related information.

Prepare potential project information with project managers.

Organize potential project files and appraisal files.

Assist Project Team members with support materials for grant applications, PowerPoint presentations, marketing and communication efforts, and other efforts as required to successfully complete land acquisition projects.

Assist Project Team with event planning.

Help with State Director and Washington State project team’s office printing, shipping and photocopying.

Other duties as assigned.

QUALIFICATIONS

Two years administrative experience preferred
High School Diploma or Vocational Degree required; A.A. or College degree preferred
Excellent written and verbal communication skills
Strong organizational skills
Ability to prioritize multiple tasks within guidelines provided by supervisor
Strong computer skills: proficiency in Microsoft Word, Excel and PowerPoint required; experience in internet research required; database and graphics experience desirable
Interest in computer software and in learning to provide basic support to IS Manager a plus
